A successful commercial building project requires more than good architectural design. Mechanical, electrical, plumbing (MEP), fire protection, and architectural systems must work together from the early stages of design through permitting and construction.
For developers, architects, general contractors, and property owners, identifying MEP requirements early can help reduce permit comments, redesign, construction conflicts, and unnecessary project delays.
Below are 10 common MEP coordination issues that should be reviewed before a commercial project is submitted for building permit.
1. Existing HVAC Systems Are Not Suitable for the New Occupancy
One of the most common issues in renovation and change-of-use projects is assuming that an existing HVAC system can serve the proposed space without modification.
A system originally designed for an office or retail space may not be appropriate when the space becomes a restaurant, medical clinic, daycare, fitness facility, laboratory, or another higher-demand occupancy.
The engineering team may need to review:
- Heating and cooling capacity
- Outdoor air requirements
- Exhaust requirements
- Existing ductwork
- Equipment condition and capacity
- Building pressure
- Proposed occupancy and occupant load
Reviewing the existing HVAC system early can prevent major redesign after the architectural layout has already been completed.
2. Mechanical Equipment Is Selected Too Late
Rooftop units, heat pumps, air-handling equipment, exhaust fans, make-up air units, water heaters, pumps, and other equipment can affect several disciplines.
Equipment selection may influence roof openings, structural loading, electrical demand, gas service, equipment clearances, ceiling space, drainage requirements, architectural screening, and controls.
Preliminary equipment requirements should therefore be established early enough for proper coordination with the rest of the design team.
3. Electrical Capacity Is Not Verified
A renovation may introduce significant new electrical loads. New HVAC equipment, electric water heaters, commercial kitchen equipment, EV chargers, specialized medical equipment, pumps, and other systems can increase the electrical demand substantially.
Before assuming that the existing service is sufficient, the electrical engineer may need to review the existing service and calculate the anticipated demand. Discovering insufficient electrical capacity late in the project can have a significant impact on the design and schedule.
4. Plumbing Fixtures Are Added Without Checking Existing Services
Restaurants, medical facilities, daycares, salons, fitness facilities, and other occupancies may require significantly more plumbing than the previous use of the building.
Adding fixtures can affect domestic water demand, water service sizing, sanitary drainage, hot-water demand, venting, grease waste systems, and sump systems. Existing conditions should be reviewed before finalizing the proposed plumbing layout.
5. Commercial Kitchen Exhaust Is Not Coordinated Early
Restaurant projects are among the most coordination-intensive commercial renovations.
Commercial cooking equipment can introduce requirements for kitchen exhaust hoods, exhaust fans, make-up air, fire suppression, gas piping, electrical connections, grease interceptors, roof penetrations, and equipment interlocks and controls.
Waiting until late in the design to coordinate the kitchen can result in major changes to the mechanical, electrical, architectural, structural, and fire protection systems.
6. Sprinkler Modifications Are Overlooked
An existing sprinkler system does not necessarily mean that no sprinkler engineering or modification will be required.
New walls, rooms, ceilings, bulkheads, architectural features, storage arrangements, or changes in occupancy may affect sprinkler coverage.
Depending on the project, fire protection engineering may include sprinkler layout modifications, pipe sizing, hydraulic calculations, hydrant flow information, standpipe coordination, or other requirements. Sprinkler coordination should occur alongside the architectural design rather than after construction documents are substantially complete.
7. Fire Alarm Requirements Are Addressed Too Late
Architectural and occupancy changes can also affect the building’s fire alarm system.
Depending on the project, changes may be required to initiating devices, notification appliances, monitoring, interfaces with mechanical systems, and other life-safety components.
Fire alarm requirements should be identified during the design stage and coordinated with the electrical, mechanical, architectural, and fire protection systems.
8. There Is Not Enough Ceiling Space for MEP Services
Ceiling congestion is a common construction problem. Ductwork, plumbing, sprinkler piping, electrical services, lighting, structural components, and architectural features may all need to occupy the same limited space.
This becomes particularly important in restaurants, healthcare facilities, laboratories, hotels, commercial renovations, and buildings with low floor-to-floor heights. Early coordination can identify major conflicts before they reach the construction site.
9. Energy Requirements Are Considered Too Late
Energy-efficiency requirements can affect HVAC equipment, controls, lighting, building envelope performance, ventilation systems, and other aspects of the project.
Treating energy compliance as a final permit item can lead to unnecessary redesign. The architectural, mechanical, and electrical teams should consider applicable energy requirements during design development so that the systems are coordinated from the beginning.
10. Engineering Is Brought Into the Project Too Late
Perhaps the most preventable issue is waiting until the architectural design is nearly complete before involving the MEP engineering team.
Early engineering involvement allows the project team to identify required mechanical rooms and shafts, major equipment locations, electrical requirements, plumbing and drainage constraints, sprinkler and fire protection requirements, roof penetrations, utility requirements, and potential existing-building limitations.
Resolving these issues on drawings is generally much easier than resolving them during construction.

MEP engineering should not be treated as a collection of independent drawings. Mechanical, electrical, plumbing, sprinkler, fire protection, architectural, and structural systems interact throughout a building.
